Policy Hub

The Policy Hub module in the Socify platform serves as a centralized repository for managing all organizational policies related to security, confidentiality, and availability. It provides users with a structured interface to create, upload, review, and map policies to corresponding compliance controls. This ensures consistency, visibility, and traceability of all compliance-related documents within the organization.


1. Understanding the Policy Hub Table

The Policy Hub interface displays a comprehensive list of policies with details including:

  • Sr. No. – Sequential identifier for each policy.

  • Title – Name of the policy or procedure.

  • Mapped Controls – Compliance controls associated with the policy (e.g., CC1.1, CC2.2).

  • Author – Indicates who has uploaded or authored the policy document.

  • Approver – Displays the assigned auditor or approver responsible for reviewing the policy.

  • Template – Provides quick access to view, upload, or download policy templates.


2. Key Features

2.1 Policy Listing

The Policy Hub displays a categorized list of organizational policies such as:

  • Code of Business Conduct Policy

  • Information Security Policy

  • HR Security Policy

  • Data Retention Policy

  • Business Continuity Plan

  • Incident Management Policy, etc.

Each entry provides visibility into:

  • Mapped compliance controls for easy traceability.

  • Upload status indicating whether a policy has been uploaded.

  • Auditor assignment showing the review status.


2.2 Upload Policy

Users can upload new or updated policy documents directly from the Policy Hub.

Steps to Upload a Policy

  1. Locate the desired policy in the list.

  2. Under the Template column, click the Upload (📤) icon.

  3. A pop-up window titled “Upload policy for [Policy Name]” will appear.

  4. Enter policy details or relevant notes in the text box provided.

  5. Click or drag files into the upload section to attach the policy document (PDF, DOCX, etc.).

  6. Once the document is attached, click Upload to save it.

  7. A confirmation message will indicate successful upload.

Note: Uploaded policies will display as “Policy uploaded” under the Author column, and the assigned auditor will be notified for review.


2.3 View Evidences

Users can review evidences or previously uploaded documents for reference.

Steps to View a Policy Template

  1. Locate the policy under the Template column.

  2. Click the View (👁️) icon.

  3. The Evidence Management panel will open on the right side of the screen.

  4. This panel allows you to review any uploaded files and verify policy compliance.

  5. If no evidence or document has been uploaded yet, a message stating “No evidence has been uploaded for this control yet.” will appear.

  • View file 👁️– View the file directly.

  • Download ⬇️ – Download the file locally.

  • Delete 🗑️ – Permanently remove the file from the evidence record.

Tip: Use this view to confirm that policy files and supporting evidence are correctly mapped to the relevant compliance controls.


2.4 Download Template

Users may also download predefined policy templates provided by the system.

Steps to Download a Template

  1. Click the Download (⬇️) icon next to the relevant policy.

  2. The template will be downloaded to your device for editing or reference.

  3. Users can update the downloaded file and re-upload it as part of the organization’s approved policy.

  • Always upload the latest version of each policy document.

  • Ensure each policy is accurately mapped to its corresponding compliance controls.

  • Assign auditors promptly for timely policy review and approval.

  • Regularly review and update policy templates to reflect organizational or regulatory changes.

  • Use the Evidence Management panel to maintain transparency in compliance documentation.
